  • To understand the diversity of VSA alumni and maintain communication with them in relation to all School matter

  • To provide VSA alumni members with access to benefits but not limited to alumni email services, networking events and more

  • To review membership decisions

  • To recognise achievements and share such information with the School community and on the School official social media platforms

  • Any other purposes related to the above

Why and how we collect, handle and use your personal data

Data Subject refers to you, the individual who is the subject of the personal data.

Data User refers to the staff of the VSA Alumni Office and the selected members of the Alumni Committee, who control the collection, holding, processing or use of personal data.

Purpose and Manner of Collection

We only collect personal data for a lawful purpose directly related to a function or activity of the data user. We only collect necessary and adequate data, but not excessive for the purposes of understanding the diversity of VSA alumni, providing VSA alumni members with access to benefits, and reviewing membership decisions.

We collect personal data from you directly through the membership application form. Some data is obligatory to supply, while some are voluntary, indicates by an asterisk (*) next to the question. You will not be able to submit an application unless all obligatory data is supplied.

The information obtained will be securely stored, and will only be accessible by the staff of the VSA Alumni Office and members of the Executive Committee of the Alumni Association

You also have the rights to request access to and correction of data by contacting us. We may require an update of your information for the fulfillment of the purposes every few years, and we hope that you will assist us in doing so.

Accuracy and Duration of Retention

Your personal data will be kept throughout your lifetime as the membership is a lifetime membership. We will retain personal data of members for such period as may be deemed necessary for the above purposes, even after they cease to be members as such data are required for any residual membership-related activities in relation to a former member including, but not limited to, processing applications for re-membership, matters relating to membership benefits and allowing us to fulfill contractual or statutory obligations.

Use of Data

We use your data for the fulfillment of the purposes. You can withdraw your consent at any point in time given by written notice, which will signify withdrawal from the membership scheme.

We will not transfer your data to a third party for direct marketing. In cases where we may share selected information of you to the school community i.e. recognising your personal achievement, an informed consent must be obtained from you, in the form of an explicit indication by the data subject and broadly covers an indication of no objection.

Data Security

The information obtained will be securely stored, and will only be accessible by the staff of the VSA Alumni Office and members of the Executive Committee of the Alumni Association.

Openness and Transparency

We take all practicable steps to ensure openness of our personal data policies and practices, the kind of personal data held and the main purposes for holding it. This web page is set up particularly to serve this purpose.

Access and Correction

You have the right to request access to and correction of your own personal data. We would give reasons when refusing your request to access to or correction of your personal data. We encourage you to update your information when deemed necessary for the fulfillment of the purposes.

We are also required to maintain a log book to record all refusals made.
